3CX CRM Integration — The Customer Record Opens Before You Answer
Connect your phone system to the CRM or helpdesk you already run. Caller ID matched to the record, click-to-call, every call logged. Set up from Greensborough.
Your phone system and your CRM already know the same customers. They just don’t talk to each other. Connect them and the record opens as the call connects — so nobody starts a call by asking a returning customer to spell their surname. SIP Connect configures this on 3CX and supports it from Greensborough.
The record is open before the phone is answered
Caller ID is matched against your CRM as the call arrives, so the person picking up already has the history in front of them.

What actually changes on the desk
The integration matches the incoming caller ID against your CRM and pushes the record to the screen before the phone is answered. That single change removes a surprising amount of daily friction.
You know who it is before you say hello.
Name, company, open tickets, last job — on screen as it rings, not thirty seconds into the call.
Click to call from anywhere in the CRM.
Any number on any screen becomes a dialable link. No copying digits into a handset, no misdials.
Calls and chats journal themselves.
Inbound and outbound, with time and duration, written back to the contact without anyone having to remember.
Unknown numbers become contacts.
A first-time caller can have a record created automatically rather than being lost the moment they hang up.
Transcripts and summaries attach to the record.
Optional, and worth turning on where the history matters — see AI call transcription.
None of it is exotic. It is the difference between a phone system sitting beside your business software and one that is part of it.
What it connects to
3CX ships pre-built integrations for the platforms most Australian businesses already run, so in the common cases this is configuration rather than development.
CRM
— Salesforce, Microsoft Dynamics 365, HubSpot, Zoho, Vtiger and more than fifty others.
Helpdesk
— Zendesk, Freshdesk and similar ticketing platforms.
Microsoft 365
— sync contacts into the company phonebook, mirror calendar status to presence, and provision extensions from Entra ID with single sign-on.
Google Workspace
— Google Contacts sync, Google SSO, and click-to-call from any record through the browser extension.
If your platform is not on the list, 3CX publishes a template for building against it. That is developer work rather than a setting — typically a couple of days for someone who knows both your CRM’s API and the template. We will tell you honestly whether yours is a configuration job or a build before you commit to anything.
Every channel in the same panel
The integration work does not stop at the CRM. 3CX answers WhatsApp Business, SMS and MMS, website live chat and Facebook Messenger in the same panel your team already uses for calls — routed to queues, logged centrally, and without handing out anybody’s personal mobile number.
If your team already lives in Teams, the calling side is worth reading separately: Microsoft Teams Direct Routing puts your numbers into Teams over our SIP trunks rather than Microsoft calling plans.
Where it earns its keep
Trades and service businesses
— the job history is on screen when the customer rings about it.
Professional services
— the matter or file opens before the call is answered, which matters when the caller assumes you already know.
Medical and allied health
— the practice record surfaces, so reception isn’t searching while someone waits.
Anyone running a queue
— whoever picks up gets the same context the last person had, which is the whole point of a shared line.
What we do, and what you need
We configure the integration on your 3CX system, map the fields so calls land where your team expects to find them, test against real records, and train the people who use it. What you need at your end is an account with the right permissions and someone who can say how your records are actually organised — that second one matters more than the first.
It runs on 3CX, which we design, host and support. Not on 3CX yet? That is the first conversation — see replacing your phone system.
Frequently asked questions
Which CRM systems work with 3CX?
Salesforce, Microsoft Dynamics 365, HubSpot, Zoho, Vtiger, Zendesk, Freshdesk and more than fifty others have pre-built integrations, plus Microsoft 365 and Google Workspace for contact, calendar and sign-on sync. Tell us what you run and we will confirm it before you commit to anything.
What if my CRM isn’t supported?
3CX publishes a template for building a custom integration. It is developer work rather than a setting — usually a couple of days for someone who knows your CRM’s API. We will tell you whether that is worth doing in your case, or whether a pre-built integration for a platform you already own gets you most of the way.
Does the customer record really open before I answer?
Yes, provided the caller ID matches a number held in the CRM. Where it doesn’t — a mobile you have never seen, a blocked number — the integration can create a new contact instead, so the call still leaves a trace.
Are calls logged automatically?
Yes. Calls and chats are journaled back to the contact with the time and duration, without anyone having to remember. Recordings, transcripts and call summaries can be attached as well.
Can I dial straight from the CRM?
Yes. Click-to-call turns any number on any CRM screen into a dialable link, which removes both the copying and the misdials that come with it.
Which edition of 3CX do I need?
Integration availability varies by 3CX licence tier and 3CX change it from time to time, so we confirm your exact entitlements at deployment rather than quoting a feature list that might have moved. If what you want needs a different tier, we will say so up front.
How long does it take to set up?
For a supported platform with tidy records, generally the same day — we install and programme most systems within 24 hours. Longer where the CRM has been in use for years and the contact data needs a look first, which is a conversation we would rather have up front than discover halfway through.
