Costs swing widely based on how many people need a handset or app, whether you go hosted (cloud) or on-premise, how many phone lines you run at once, and what you're paying for internet and calls underneath it all. This guide breaks down the real cost drivers in plain English so you can budget with your eyes open, and spot where money usually leaks.

What actually drives the cost

A modern business phone system isn't one price tag. It's a handful of moving parts, and each one is a lever you can pull up or down:

The platform.

A cloud or hosted PBX spreads cost into a monthly fee with little upfront hardware. An on-premise system costs more to buy but you own it. 3CX is an open platform that can run either way, and it's licensed by the number of simultaneous calls rather than per extension. So a 30-person office that's rarely all on the phone at once can sit on a Small (4), Medium (8) or Large (16) call tier and pay far less than a per-seat model would suggest.

Lines and calls.

SIP trunks replace old ISDN/PSTN lines and usually cost a fraction of what copper did. Inbound numbers like 1300 and 1800 numbers add a little for routing, IVR and call reporting.

Handsets vs apps.

Desk phones (Yealink and similar) are a one-off cost per device. Softphone and mobile apps are often included, so a hybrid team can mix and match to keep hardware spend down.

The internet underneath.

Voice quality lives or dies on your connection. Costs here range from business NBN up to 1Gbps, through to gigabit fibre for sites that need symmetric, dedicated bandwidth.

Things like messages on hold are optional extras (no set-up fees, no long-term contracts), not core costs.

Microsoft Teams as your phone system

If your team already lives in Teams, Microsoft Teams Direct Routing turns it into your phone system without you having to buy or manage an SBC. The cost depends on your existing Microsoft licensing plus calling, and it can be neater than running a separate phone platform alongside it.

Why the next few years matter for budgeting

Timing affects cost too. Australia's PSTN copper network is being retired on a rolling, premises-by-premises basis as the NBN becomes available, with around 18 months' notice per site, so there's no single national switch-off to panic about, but old line-based systems are on borrowed time. Telstra's Digital Office Technology (DOT) service is ending, and Telstra Calling for Office 365 is being withdrawn. On the hardware side, NEC has ceased manufacturing its on-premise PBX line; software and licence support runs only to 2030. If you're running an NEC system, the sensible move is a planned NEC PBX migration rather than a rushed one. Replacing kit on your schedule, before a forced cut-off, is almost always cheaper than doing it in an emergency.

Where businesses overpay
