If you are weighing up a new business phone system, you have probably hit three terms that sound similar but mean different things: hosted PBX, on-premise PBX, and cloud PBX. They all let your team make and take calls, but where the "brains" of the system live, who maintains it, and how you pay for it can be very different. This is a plain-English guide to the trade-offs, with no hard sell, so you can work out what actually suits your business.

What each one actually means
A PBX (private branch exchange) is the system that routes calls inside your business and out to the world. The difference is mostly about where it lives.
- On-premise PBX: The hardware sits in your building, usually in a comms cupboard or server room. You (or your provider) own and maintain it. You have full control, but you also carry the upkeep, the power, and the eventual replacement cost.
- Hosted PBX: The system runs in a data centre and is managed for you. You connect your handsets or apps over the internet. There is no box to babysit on-site, and upgrades happen behind the scenes. You can read more on our hosted PBX page.
- Cloud PBX: In practice this is another name for a hosted PBX, delivered as a subscription from the cloud. Some people use "cloud" to stress the pay-monthly, scale-up-or-down nature of it. For most businesses, hosted and cloud mean the same thing.
The honest pros and cons
On-premise gives you direct control and can suit larger sites or businesses with specific compliance needs. The downsides are real, though: upfront hardware spend, ongoing maintenance, and the risk of being left on an ageing platform. That last point matters right now. NEC has stopped manufacturing its on-premise PBX line, with hardware shipping in Australia ending and core technical support winding down through 2026 (licence support runs longer). Hosted and cloud shift the maintenance off your plate and usually swap a big upfront cost for a predictable monthly one. Adding a new starter, opening a second site, or routing calls between branches is far simpler. The trade-off is that you depend on a solid internet connection, so the quality of your business internet genuinely matters.
It is also worth knowing the ground is shifting underneath all of this. Australia's old copper PSTN is being retired premises by premises as the NBN reaches each address, with notice given ahead of time. It is a rolling change, not a single national switch-off date. Either way, most businesses are moving voice onto IP, often using SIP trunks to replace old ISDN or PSTN lines.
So which should you choose?
There is no single right answer, and we are genuinely vendor-neutral about this. The honest version:
Smaller teams and multi-site businesses
tend to do well on a hosted or cloud setup. Less to maintain, easier to grow, free calls between offices.
Businesses that want flexibility on licensing
often like 3CX, which is open-platform, can run hosted or on-premise, and is licensed by simultaneous calls rather than by the number of extensions. It also includes free video for up to 250 participants and live chat.
Teams already living in Microsoft 365
may prefer Microsoft Teams Direct Routing, so calls run through Teams without you having to manage an SBC.
The right platform depends on your size, your sites, your budget, and what you already use. That is the conversation worth having before you buy anything.
Frequently asked questions
Is cloud PBX the same as hosted PBX?
For most businesses, yes. Both run the phone system off-site and deliver it over the internet, with the maintenance handled for you. "Cloud" simply emphasises the subscription, scale-as-you-go model. If anyone quotes you wildly different things under those two labels, ask them to spell out exactly what is included.
Do I need amazing internet for hosted or cloud PBX?
You need a stable connection with enough capacity for your call volume, not necessarily the fastest plan available. Quality and consistency matter more than raw speed. We can check your current line as part of working out the right fit.
What happens to my old on-premise system?
It depends on the platform and its support timeline. Some older systems, including NEC, are winding down, so the question is usually when to move, not if. A migration can often reuse your numbers and be planned around your business hours.
