Every business has a rhythm: phones run hot from 9 to 5, go quiet at lunch and fall silent overnight. How 3CX decides what "open" means

3CX works off a concept of Office Hours set against a time zone. At any moment it knows whether you are inside office hours, outside them, or on a defined holiday, and routes calls differently for each. System office hours set the default pattern for the whole phone system, while per-extension, per-queue or per-receptionist hours let parts of the business run their own schedule, so a sales team that works Saturdays can differ from the rest of the office.

Get the time zone right first. If your system thinks it is in UTC when you are in Melbourne, every rule fires at the wrong time, so confirm the PBX time zone matches where your staff answer calls, and watch the changeover during daylight saving.

Setting your business hours

Office hours are defined as time ranges per day. Most businesses set 9:00 to 17:00, Monday to Friday, but you can be as granular as you need.

In the Admin Console, open the office hours settings and confirm the system time zone.

Define open hours for each day. Leave a day blank to mark it closed all day.

If you close for lunch, set two ranges for that day (say 9:00 to 12:30 and 13:30 to 17:00) so midday calls route to your closed flow.

Think of office hours as the switch, and your inbound rules as the wiring that decides where each call goes once the switch says whether you are open.

Handling public holidays

Holidays are the part most businesses forget until a customer rings on Christmas Day and gets the full open-hours menu. 3CX lets you define dates as holidays, each with its own destination, so those days behave like a special "closed".

  • Add each holiday as a date or date range with its own greeting, so callers hear "we are closed for the public holiday" rather than your normal prompts.
  • For multi-day breaks like the Christmas-to-New-Year shutdown, set one range covering the whole period.
  • Holidays usually override normal office hours for that day.

One honest caveat: Victorian and national public holidays move each year, and some are state-specific. Put a recurring reminder in your calendar to update the list annually, because 3CX will not guess next year's dates.

After-hours and closed-time routing

"Closed" does not have to mean "voicemail". After-hours routing decides what a caller gets at that moment. Common patterns:

  • Call your main number during open hours and confirm the right team answers.
  • Set a holiday for today, or use the manual break, to hear your closed flow without waiting until 6pm.
  • Check the lunch gap and the exact minute hours change over, especially around daylight saving.
  • Confirm voicemail-to-email lands in the right inbox and is not caught by spam filtering.

What we see installing this in Melbourne

Yes. Alongside the system-wide office hours, you can give individual queues, ring groups, receptionists or extensions their own schedule. A sales line can run Saturday hours while the rest of the office stays Monday to Friday.

Do I have to add public holidays manually every year?

Yes. 3CX does not automatically know Australian or Victorian public holidays, and the dates shift each year. Set a recurring annual reminder to refresh the list, or have us update it as part of your ongoing support.

What happens to a call that comes in exactly as we close?

3CX checks the current time against your office hours at the moment the call arrives, so a call landing one minute after closing follows the closed-hours routing. This is why testing the changeover, and confirming your time zone, matters.

Can we close early without changing the whole schedule?

Yes. Use the manual break or out-of-office override to switch to closed routing on the spot, for example before a long weekend. The system returns to its normal schedule once you clear the override.
