Voicemail catches the calls nobody could answer in time. Set up well in 3CX, it does more than store messages: it emails the audio straight to the right person, so a missed call at 4:55pm doesn't become a forgotten one the next morning — sometimes the difference between losing a job and winning one.

How voicemail works in 3CX

Every extension in 3CX has its own voicemail box. A call rolls to voicemail when the extension is busy, unanswered within the no-answer timeout, or set to do not disturb or away — you control this through the extension's forwarding rules and status profiles in the Admin Console. You can also point a ring group or call queue at one shared mailbox, so the team sees a message rather than it sitting unheard on a single extension.

A few settings to get right:

  • No-answer timeout: how long the phone rings before voicemail picks up. Around 20 to 25 seconds is the usual sweet spot.
  • PIN: set a strong one and avoid 0000 or 1234, which are favourites for toll fraud probing.
  • Length and retention: cap message length and how long old messages are kept, so the box doesn't fill up.

Recording greetings that sound like your business

The greeting is your first impression when you can't pick up, so it is worth a few minutes. Record one from your phone, the Web Client or the apps, or upload a prepared file. Keep it short: name the business, say you can't take the call, then tell them what to do next — leave a name, number and brief message, or how to reach someone urgently.

Record a separate after-hours greeting and pair voicemail with business hours and after-hours routing so callers hear the right message at the right time. Consider professional messages on hold for callers who wait in a queue. Uploaded files should use the format 3CX expects (typically PCM/WAV, 8kHz, 16-bit, mono) — a tinny greeting undoes the effort.

Setting up voicemail-to-email

This is the feature most businesses actually want. It sends every new message to a nominated address, so people read or listen on their phone or in Outlook without dialling in. Configure it per extension and choose how much arrives:

  • Notification only: an email says a message is waiting, but you still dial in to hear it — useful where privacy matters.
  • Attachment, keep: the audio is emailed and stays in the 3CX mailbox too. The safe default for most offices.
  • Attachment, delete: the audio is emailed and removed from 3CX, so the email becomes the only copy.

For this you need a mail server (SMTP) in 3CX, usually Microsoft 365 or a relay such as SendGrid. If you run Microsoft 365 or Teams alongside 3CX, routing voicemail into the same mailboxes keeps everything in one place.

Messages earn their keep when they reach the right person: point a group voicemail at sales@ or office@ so no absence means a missed lead. You can also layer it into a wider call flow, where a digital receptionist offers "press 1 to leave a message" and the Call Flow Designer routes different options to different mailboxes.

Testing and a few honest pitfalls

Always test before you rely on it: call the extension, let it ring through, leave a message, and confirm the email lands with playable audio. Common snags:

  • Emails not arriving: almost always an SMTP problem, or the message is in spam. Check the mail server settings and the sender domain's SPF/DKIM.
  • Calls never reaching voicemail: usually a forwarding rule or status profile sending the call elsewhere first.
  • Full mailboxes: without sensible retention, a box fills up and refuses new messages.
  • Privacy: voicemail can be sensitive, so treat it like any recorded audio and mind your call recording obligations.

What we see installing this in Melbourne

On Melbourne SME sites, voicemail-to-email is usually the part that quietly breaks first. The 3CX side is set correctly, but the SMTP relay was never finished — Microsoft 365 needs an authenticated connector or a licensed shared mailbox to send as office@, and without SPF and DKIM on the business domain, the audio attachments land in Junk or get stripped by Mimecast and similar AU filters. We test from the actual office NBN connection on cutover day, because some NBN FTTN services have upload behaviour that delays the attachment by a minute or two and people assume it's broken.

Can I get my 3CX voicemails sent to my email?

Yes. Voicemail-to-email is built in. You set a delivery address per extension and choose whether the email is a simple notification or carries the message as audio. It needs a mail server (SMTP) in 3CX, a quick job if it isn't already set up.

Why are my voicemail emails not coming through?

Usually the mail server. Check that 3CX's SMTP settings are correct and that the sending domain has valid SPF and DKIM records, otherwise messages get filtered as spam — and check the junk folder. If everything else emails fine, it is more likely a per-extension setting.

Can a whole team share one voicemail box?

Yes. Route a ring group or call queue to a shared mailbox and email the audio to a group address like sales@ or office@, so everyone who can act on a message sees it.

Do voicemail messages count towards my 3CX licence?
